Charting the Future of Educational Consulting with the PIT Crew

Every month, CounselMore hosts a standout session known as the Process Improvement Team (PIT) meeting—affectionately dubbed the "PIT Crew." Facilitated by Peer Mentor Anthony Russomanno, founder of AR Advising in San Diego, this session brings together seasoned educational consultants to share practical wisdom and process innovations that elevate the entire profession.

Anthony Russomanno, a veteran educator with over 30 years of experience, leads these gatherings as part of CounselMore's "Seasoned with Experience" series. By incorporating CounselMore into his advising practice, Anthony has streamlined operations and enhanced service delivery, making him an ideal facilitator for these peer-driven, solution-focused meetings.

What Is the PIT Crew?

The PIT Crew is a collaborative space for educational consultants focused on refining their systems, strengthening their service delivery, and achieving business sustainability. Participation is free, and open to those managing their own practice or leading a team. Sessions are held on the last Wednesday of each month.

Real Conversations on Real Issues At our most recent PIT Crew meeting, participants engaged in dynamic discussion about managing client workflows, refining internal systems, and expanding team capacity.

Some highlights included - keep reading!

1. Assigning and Managing Student Work

Peer Reflections:

  • One counselor shared how she created a dedicated “student binder” system within CounselMore to stay organized with task delegation.

  • Another member walked through using CounselMore assignments as pre-loaded templates to scale support across multiple students efficiently.

  • A third participant raised the challenge of re-explaining the same material to multiple families and saw value in templated workflows that CounselMore helps create.

Collective Insight: Automating and systematizing repeatable tasks doesn’t make our work less personal—it helps us deliver our best ideas consistently, to more students.

2. Streamlining Internal Communications and Accountability

Peer Reflections:

  • Several consultants discussed managing remote contractors and internal staff with weekly check-ins and shared access dashboards.

  • Others emphasized the importance of documenting SOPs (Standard Operating Procedures) and integrating task ownership into the CounselMore dashboard.

Collective Insight:

Without clearly defined expectations and visible progress tracking, teams drift. Centralizing updates through CounselMore improves team cohesion.

3. Navigating Capacity and Burnout

Peer Reflections:

  • Participants reflected on the tension between high client demand and the internal feeling of “hitting a wall.”

  • One shared how blocking off weeks for administrative work or curriculum development helped them return to client-facing work with renewed energy.

  • The idea of building in seasonal slowdown or “reset weeks” was met with strong support.

Collective Insight:

Burnout prevention isn’t about working less—it’s about pacing smarter. Being proactive in setting calendar boundaries is as important as revenue planning.

What We Learned Together

  • Every firm has blind spots—but in a trusted circle, those become launchpads for new strategies.

  • CounselMore continues to be a foundation for collaboration, not just productivity.

  • Growth is not only possible, it’s sustainable—with the right mix of process, peer input, and purpose.

The Concord Review is the most prestigious journal for high school students in the social sciences. As William Fitzsimmons, long-time Dean of Admissions at Harvard College, put it “A simple fact that an essay has been published by The Concord Review is something that’s impressive to the committee, just as the committee can be impressed when a scientist or mathematician does well in an international competition.” The Concord’s Review’s prestige comes from its high level of selectivity (currently less than 5%), focus on quality, and long track record of winners going on to top universities. In 2010, 10% of all students published in the journal had gone to Harvard College . As the Concord Review describes , many authors will attach their Concord Review in their application. Of students who have been published, they have “gone on to Brown (35), University of Chicago (36), Columbia (31), Cornell (21), Dartmouth (24), Harvard (152), Oxford(17), Pennsylvania (30), Princeton (76), Stanford (86), Yale (123).” So, what is the Concord Review and how can you build a paper that is accepted? In this guide, we’re going to go through what the Concord Review is, what it looks for in papers, and what you need to do to stand a chance.
